1. Introduction
In this article, we will describe the various ways of executing WorkPoint Automate processes from WorkPoint Express.
Note that this article relates to user processes only. System processes are automatically executed based on triggers and are run irregardless of from where events occur.
Please note that when enabling the functionality described in this article, the default WorkPoint Express buttons for creating entities and opening wizards will be replaced with My Tools buttons set up to execute WorkPoint Automate user processes. You can always switch back to the default WorkPoint Express buttons, but you will not be able to run WorkPoint Automate processes from WorkPoint Express.
2. Executing processes via My Tools buttons
One way to execute WorkPoint Automate processes from WorkPoint Express is to set up a My Tools button for the process. You can then make My Tools buttons available in WorkPoint Express, enabling the user to execute the processes yo have created buttons for.
Please refer to the "Running a user process from the My Tools panel" section of this article for information about how to set up a My Tools button to execute a user process.
Once you have set up My Tools buttons for one or more processes, you can enable the use of My Tools in WorkPoint Express:
- In WorkPoint Express, click the Menu button and select "Settings".
- In the WorkPoint Express settings window, click the "System" tab and select the "Prefered Dialogs" tab.
- In the "Prefered Dialogs" tab, enable the "Use MyTools for WorkPoint 365" checker.
- Click the "Close" button to close the window.
- In the "Confirm Restart" dialog, click the "Yes" button.
WorkPoint Express now restarts and the new setting should take effect. You should now be able to use your My Tools buttons from WorkPoint 365 inside WorkPoint Express.
Note that using MyTools for WorkPoint 365 in WorkPoint Express replaces the standard actions to create entities with your My Tools buttons. If you do not have MyTools buttons configured for creating new entities, you may want to consider creating them.
2.1. Executing root level processes
Executing root level processes (typically user processes to create new entities) can be done from any location in WorkPoint Express when using My Tools:
- At the top of WorkPoint Express, click the "Actions" button. From this menu you can access all My Tools buttons set up on the root level.
- The menu respects your hierarchy of My Tools. Here we demonstrate it by opening the "New" menu and selecting to create a new project entity.
This opens our "Create new project" user process in a window:
2.2. Executing Entity level processes
When My Tools has been enabled in WorkPoint Express, buttons which execute Entity level processes (typically processes to change stage, update entity metadata, etc.) can be executed in the following way:
- Right-click the entity for which you want to run a user process.
- The My Tools buttons which are associated with user processes will appear in the top of the pop-up menu. The menu also respects the hierarchy of the buttons. Here we exemplify the process by opening the "New" menu and selecting "Create transmittal" for a project entity.
This opens the "Create transmittal" process in a window:
2.3. Executing Item level processes
When My Tools has been enabled in WorkPoint Express, buttons which execute Item level processes (typically processes to update item metadata, convert to PDF, etc.) can be executed in the following way:
- Right-click the document(s) for which you want to run a user process.
- The My Tools buttons which are associated with user processes will appear in the top of the pop-up menu. Here we exemplify the process by clicking the "Send document(s) to transmittal" button.
This opens the item level user process "Send to transmittal" process in a window:
