1. Introduction
The purpose of this process is to allow end users to delete items from a WorkPoint solution.
The process consists of three steps:
- A Search entity form or Search for item in list step, where the user selects the items or folders to be deleted
- A Documents, folders and items review step, where the user can review the selected items before continuing
- A Delete documents, folders and items step, which deletes the selected items when the process is completed
Depending on the configuration, the process can be used to delete different types of items, such as documents, folders, or list items, from a predefined location within the solution.
In this example, a Search for item in list step is used.
Important notice!
The Delete step does not display a confirmation dialog before deleting items, other than the optional Documents,
folders and items review step if it is included in the process.
When the process is completed, all selected files, folders, or items are deleted immediately.
Administrators should ensure that this process is only made available to users with the appropriate permissions.
This can be achieved by limiting access through user permissions, applying audience targeting to the My Tools button,
or using similar access control mechanisms.
Care should be taken when configuring and exposing this process, as deleted content is removed from the solution once the step is executed.
2. Configuration
In the Options tab, configure the Business module, Entity, and List from which items can be deleted.
Additionally, set Allow continuing without selection to Yes and Allow multi-select to Yes, enabling the user to proceed without a selection and to delete multiple items in a single process run.
The next step is to pass the output from the Search for item in list step to the Documents, folders and items review step.
This is configured in the General tab of the Documents, folders and items review step.
Additionally, it is recommended to provide descriptive text in the step configuration to clearly inform the user that the selected items are about to be deleted.
As there is no additional confirmation prompt in the process, this step serves as the final review before deletion.
In this example, the following text is used to inform the user before continuing:
“You are about to delete the following item(s). If you have chosen the wrong files, go back and try again. Otherwise, continue.”
This text helps ensure that the user is aware of the action they are about to perform and acts as the final review step before the deletion is executed.
There is one final configuration step required.
The output from the search step must be passed to the Delete documents, folders and items step.
This is configured in the General tab of the Delete documents, folders and items step.
With all configuration completed, the process appears as shown below:
From here, the user can drill down into a folder and either select a specific file or delete the entire folder.
As with the Upload files and folders step, this step supports drill-down using the Open button.
Here, the user can select specific files for deletion or use the Select all toggle to select all available files.
By selecting Continue, the user confirms the deletion of all selected files.
Here, the user is presented with the help text defined in the process configuration.
From this step, the user can go back by selecting Back, or remove an item by selecting the Remove icon if an incorrect item has been selected.
This is the final step before the delete action is performed.
By selecting Continue, the user confirms and executes the deletion.
Process is now done. Your file or folder is deleted.
3. MyTools
As stated earlier, the Delete step does not provide additional confirmation prompts, other than the optional review step.
Ensure that access to this process is only granted to users who are intended to perform deletions.
With this in place, the process is now ready to be added via My Tools in the WorkPoint solution.
