1. Introduction
Documents and elements can be journalized in WorkPoint document libraries. This can be done from many places, but is mainly done from various Microsoft Office applications such as Outlook, Word, and Excel. It can also be done from the Windows Explorer.
Various scenarios describe how to journalize to WorkPoint lists through WorkPoint Express in the following sections.
2. Journalizing documents from Word
Journalizing a Microsoft Word document through WorkPoint Express can be done in the following way:
- Create whatever document you need to journalize inside Microsoft Word
- In WorkPoint Express, navigate to the library in which the document should be journalized.
- Click the "Upload to SharePoint" button in WorkPoint Express.
This will open the "Set Properties" window which allows you to provide additional data to the file:
- Provide a name for the document, and fill in all other necessary information.
- Click the"Save" button.
The document has now been journalized:
Word documents opened from WorkPoint Express will automatically save whenever edits are made to the document, provided autosave is enabled.
3. Journalizing documents from PowerPoint
Journalizing a Microsoft PowerPoint presentation through WorkPoint Express can be done in the following way:
- Create whatever presentation that should be journalized inside Microsoft PowerPoint.
- Navigate to the location where the presentation should be journalized.
- Click the "Upload to SharePoint" button in WorkPoint Express.
This will open the "Set Properties" window which allows you to provide additional data to the file:
- Provide a name for the document, and fill in all other necessary information.
- Click the"Save" button.
The document has now been journalized:
PowerPoint presentations opened from WorkPoint Express will automatically save whenever edits are made to the presentation, provided autosave is enabled.
4. Journalizing documents from Excel
Journalizing a Microsoft Word document through WorkPoint Express can be done in the following way:
- Create whatever spreadsheet you need to journalize inside Microsoft Excel.
- In WorkPoint Express, navigate to the library in which the spreadsheet should be journalized.
- Click the "Upload to SharePoint" button in WorkPoint Express.
This will open the "Set Properties" window which allows you to provide additional data to the file:
- Provide a name for the spreadsheet, and fill in all other necessary information.
- Click the"Save" button.
The spreadsheet has now been journalized:
Spreadsheets opened from WorkPoint Express cannot be journalized through WorkPoint Express by use of the Save function in Excel. To journalize the spreadsheet after edits are made, please use the "Upload to SharePoint" button shown in pt. 3.
5. Journalizing documents from Outlook
Documents attached to email can be journalized through WorkPoint Express in the following way:
- Open the e-mail with the document attachment.
- Drag and drop the e-mail attachment directly from the e-mail into the contents section of the desired destination list for the document.
This will open the "Set Properties" window which allows you to provide additional data to the file:
- If you wish to use another name for the file than what it already has, you can provide a new one. Fill in all other necessary properties.
- Click the "Save" button.
The document is now journalized in the specified list:
6. Journalizing documents from Windows Explorer
Documents can be journalized directly to WorkPoint from Windows Explorer through WorkPoint Express. That can be done by simply dragging files from Windows Explorer and dropping them inside a library in WorkPoint through the WorkPoint Express interface. An example is shown below:
- Mark the file(s) you want to journalize in WorkPoint.
- Drag the files from the Windows Explorer window.
- Drop the files over an empty area of a library in WorkPoint Express.
This will open the "Set Properties" window:
- Fill in all required information. In this case, Name is set to "<Values are not common>" which means that the names of the files being uploaded are not the same. This is fine, as no further actions are required with regards to renaming. The "Awaiting approval" state is the default state for the "Approval state" field in this example. When done, click the "Ok" button.
The files are now uploaded to the desired WorkPoint library:
7. Notes
Note that, provided autosave is enabled in Microsoft Office applications, documents opened from WorkPoint Express will automatically save edits made to them.
The autosave function of Microsoft Office can be toggled with the following button:
- Clicking this button toggles autosave on or off.
