1. Introduction
The "Last Activity Date" feature allows you to enable fields on a business module list, showing information about who last edited each entity in the list and when the last edit was made.
This data is updated every time the entity meta data, an item, a document, or a folder is created, updated, or deleted.
Please be aware that changes to the "Last Activity Date" and "Last Activity By" fields do NOT trigger aggregation jobs.
2. Requirements
There are no requirements associated with the use of the Last Activity Date feature.
3. Configuration
Last Activity Date is configured in the Aggregation settings per business module in the WorkPoint Administration.
Follow these steps to set up the feature:
- In the WorkPoint Administration, click the header of the business module for which you wish to enable the Last Activity Date feature. In this case, we select the Projects business module.
- In the business module menu, click "Aggregation".
- To enable the Last Activity Date feature, set the "Enable last activity information on entity" checker on.
- To save the setting and update all entities in the business module, click "Save and update all entities".
When the feature is enabled, WorkPoint automatically adds two fields to the business module list; the "Last Activity" and the "Last Activity By" fields.
The "Last Activity" field is a date and time field, which shows the date of the latest edit on the entity.
The "Last Activity By" field is a Person or Group field, showing who did the latest edit on the entity.
Even though the fields are automatically added by WorkPoint, an administrator needs to enable the fields on the business module list.
Follow these steps to enable the Last Activity Date-related fields on the business module list:
- Click the chevron of a random column in the business module list.
- Click "Column settings".
- Click "Show/hide columns".
- Enable the "Last Activity" and "Last Activity By" fields.
- Click "Apply".
The fields should now appear in the business module list:
Remember that you can re-order the columns in the business module list.
4. Notes
The data in the Last Activity and Last Activity By fields is updated every time the entity meta data, an item, a document, or a folder is created, updated, or deleted.
Please be aware that changes to the "Last Activity Date" and "Last Activity By" fields do NOT trigger aggregation jobs.
